Award Phase Glossary
Phase
What It Means
What to Expect
Pre-Award
Award notification received, but no award record or contract has been created yet.
Your proposal specialist is awaiting official sponsor documents before setup can begin.
Contracting
A Sponsored Research Agreement (SRA) or Amendment is actively being negotiated.
The agreement is in Internal Review, External Review, or awaiting signatures. Your
contracts specialist is the point of contact.
Compliance
An open compliance review (e.g., IRB, IACUC, COI) is currently blocking progress.
The listed reviewer must complete their review before the award can move forward.
Contact the reviewer shown in the table.
Post-Award
The award exists and has moved past contracting into account setup or management.
Your award specialist is managing the next steps. Contact them for account or budget
questions.
Frequently Asked Questions
Why don't I see my proposal in the tracker?
The tracker only includes proposals in one of three active post-submission statuses:
Award Notification Received, Pending Sponsor Review – Award Anticipated, or Post-Submission Update Requested. If your proposal is not in one of these stages, or if it has already reached an
Active or Completed award status, it will not appear here. For historical award information,
please visit the Awards Dashboard.
What does "Anticipated Award" mean under Document Type?
"Anticipated Award" means no formal agreement or contract document has been created
in Huron yet. The proposal is in a pre-contracting state — your specialist is waiting
on the sponsor to send official award documents before a contract can be initiated.
Who is the Contact shown in the table?
The Contact reflects the person currently responsible for moving your award forward.
It resolves in this priority order: Agreement Specialist → Parent Agreement Specialist → Compliance Reviewer → Award Specialist
→ Proposal Specialist. If a compliance review is open, the reviewer listed is your point of contact until
it is resolved.
What does "Days in Current Status" mean?
This is the number of calendar days your proposal has been sitting in its current
status. The clock starts from when the current agreement, award, or proposal status
began — or from when a compliance review was opened. A high number may indicate the
item needs follow-up.
My status hasn't changed in several weeks — what should I do?
Reach out to the Contact listed in the tracker for your proposal. If the phase is Compliance, contact the listed reviewer directly. If you are unsure who to contact, email GCA@unt.edu with your proposal number and we can direct your inquiry.
What is the difference between the Proposal # and the Award #?
The Proposal # (GFP…) is the tracking number assigned when the proposal was submitted in Huron. The Award # (GAWD…) is assigned once the sponsor officially funds the proposal and an award record is
created. Not all proposals in this tracker will have an Award # yet — those are still
in Pre-Award or Contracting phase.
How current is the data in this tracker?
The tracker refreshes once daily from Huron Grants. The last refresh timestamp is
displayed in the top right corner of the report. If you believe a recent update is
not reflected, please allow until the next business day for the data to sync.
